Privacy & Policy
Explains information collected through genesisderm.com and related online services.
Important: This Website Privacy Policy is separate from Genesis Dermatology’s HIPAA Notice of Privacy Practices, which governs protected health information used for treatment, payment, and health care operations.
1. Scope
This Website Privacy Policy explains how Genesis Dermatology (“Genesis,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit genesisderm.com, submit an online form, request an appointment, communicate with us electronically, or otherwise interact with our online services. It does not replace the HIPAA Notice of Privacy Practices applicable to medical records and other protected health information (“PHI”).
2. Information We Collect
Information you provide directly may include your name, email address, telephone number, preferred appointment details, message content, communication preferences, and other information you choose to provide. If a form asks about a health concern or requested medical service, the information may be health information and may be protected by HIPAA when received or maintained by Genesis.
Information collected automatically may include IP address, device and browser type, operating system, referring page, pages viewed, approximate location, dates and times of visits, cookie identifiers, and interactions with website features. Genesis must configure analytics and advertising tools so they do not collect PHI or information entered into medical, scheduling, portal, or contact fields unless all applicable HIPAA requirements are satisfied.
3. How We Use Information
- Respond to questions, appointment requests, and other communications.
- Provide, coordinate, and improve services and the patient experience.
- Operate, secure, troubleshoot, and evaluate the website.
- Send administrative communications, reminders, or requested information.
- Send marketing messages only when permitted by law and applicable consent requirements.
- Protect patients, staff, the practice, and the public; prevent fraud or misuse; and comply with law.
4. HIPAA and Medical Information
When Genesis receives or maintains individually identifiable health information in its capacity as a HIPAA-covered health care provider, Genesis handles that information in accordance with the HIPAA Privacy, Security, and Breach Notification Rules and its Notice of Privacy Practices. HIPAA does not necessarily apply to every piece of information collected through a public website. Please review the Notice of Privacy Practices for information about your medical privacy rights and how PHI may be used or disclosed.
Do not use an ordinary contact form or unencrypted email for urgent, highly sensitive, or detailed medical information unless the form is specifically identified as secure. For emergencies, call 911. For urgent medical concerns, contact the practice by telephone.
5. How We Share Information
We may share information with service providers that support website hosting, security, communications, scheduling, analytics, payment processing, and other operations; professional advisers; government authorities or other parties when required or permitted by law; and parties involved in a business reorganization. When a vendor creates, receives, maintains, or transmits PHI on our behalf, Genesis will use a Business Associate Agreement when required by HIPAA and will limit disclosures as required by law.
Genesis does not sell medical information. Genesis will not use or disclose PHI for marketing or sale except as permitted by HIPAA or with a valid authorization when required.
6. Cookies and Tracking Technologies
The website may use essential cookies and, where enabled, limited analytics or advertising technologies. The categories actually used must be accurately described in the Cookie Policy and consent controls. A cookie banner is not a HIPAA authorization, and Genesis will not rely on cookie consent alone to disclose PHI to a tracking vendor.
7. Data Security and Retention
Genesis uses reasonable administrative, physical, and technical safeguards appropriate to the nature of the information. No website, email, or electronic transmission can be guaranteed completely secure. Information is retained only as long as reasonably necessary for the purposes described, to maintain medical and business records, resolve disputes, and satisfy legal, regulatory, and contractual obligations.
8. Your Choices
- Use browser settings or the website’s cookie controls to manage nonessential cookies, where available.
- Use the unsubscribe instructions in marketing email or reply STOP to eligible automated marketing texts.
- Contact Genesis to update your communication preferences.
- Exercise medical-record rights as described in the HIPAA Notice of Privacy Practices.
9. Children
The website is not directed to children for independent use. A parent or legal guardian should submit information on behalf of a minor. Medical information concerning minors is handled as required by applicable law.
10. External Links
The website may link to patient portals, payment services, social networks, online stores, or other third-party services. Their privacy practices are governed by their own notices. A link does not mean Genesis controls or endorses the third party’s privacy or security practices.
11. Changes to This Policy
Genesis may update this policy. The revised version will be posted with a new effective date. Material changes may be communicated through additional reasonable means when required.
